Venue Enquiry Email Templates: 7 Replies for Event Spaces, Hotels and Restaurants

Published 30 October 2026 · 9 minute read · The ReciteMail Blog

A couple getting married next June has emailed five venues about the same Saturday. A company planning its Christmas party has written to four restaurants at once. A family wants a room for a 70th birthday and has filled in the contact form on six websites. Every one of those enquiries is being compared. The comparison usually starts and ends with who answered first and who answered the actual question. Most venue replies lose on both: they arrive the next afternoon with a PDF brochure attached and the words "please see our packages". Here are seven replies that win on both, in the order a booking usually runs.

Venue enquiry email templates for event spaces, hotels and restaurants

Why the first reply decides it

People booking a venue are not browsing. They have a date, a rough number of guests and a budget in mind. They send the same enquiry to several places and start a shortlist from the replies that come back. A venue that answers within the hour with the date, a price for their numbers and a viewing slot goes straight to the top of that list. One that answers tomorrow with "please find our brochure attached" has made them do the work of finding the answer themselves. That is the venue they quietly drop.

Speed matters more here than almost anywhere else in small business email. If you cannot write the full reply within the hour, send a short holding email that confirms the date is free and says when the details are coming. That alone keeps you on the list.

The four things every first reply needs

The first venue reply, in order: answer the date first, give a price range, say what is included, offer one next step. Leave out: a brochure with no answer,
  • The date, in the first line. Free, provisionally held by someone else or gone. That is the only thing they need to know before reading anything else.
  • A price range for their numbers. Not "packages from 45 per head". A figure for 80 guests on a Saturday in June. A range is fine. A missing number is not. Our guide to replying to a price enquiry covers why.
  • What is included. Room hire, staff, tables and linen, the bar, how late they can stay. The things they would otherwise email back to ask.
  • One next step with a time. A viewing on Thursday at 4pm or a ten minute call. One option with a time attached. Saying yes then takes one word.

The brochure can still go in. It goes underneath the answer, not instead of it.

1. The date is available

The reply most venues send badly. Answer the question, give the number, name what is included and offer a viewing.

Subject: Saturday 12 June 2027 is free at The Boathouse

Hi Sarah, good news: Saturday 12 June is free and I would love to have your wedding here. For 80 guests on a Saturday in June you would be looking at 7,800 to 9,400 depending on the menu, which covers:
1. Exclusive use of the Boathouse and the terrace from 12pm to midnight
2. A three course meal, a drinks reception and a glass of fizz for the toasts
3. All staff, tables, chairs, linen and a dedicated coordinator on the day
4. The terrace for the ceremony if the weather is kind, with the main room as a back-up

The best way to decide is to see it. Could you come for a look on Thursday 5 November at 4pm? If that does not suit, tell me a day that does. The full brochure is attached for later.

Best regards,
Orla

2. The date is taken

Do not just say no. Offer the nearest alternatives that genuinely work and put them on a waiting list for the date they wanted. People cancel more often than you would think. Our guide to telling a customer you are fully booked covers the wider version.

Subject: Re: Wedding enquiry for Saturday 12 June

Hi Sarah, thank you for thinking of us. I am sorry, Saturday 12 June is already booked. Two dates close to it are still free: Friday 11 June and Saturday 26 June. A Friday comes in about 15% lower than a Saturday, if that helps. I have also put you on the waiting list for the 12th and will email you straight away if it comes free. If either alternative works, I can hold it for you for seven days while you decide.

Best regards,
Orla

3. The enquiry with no details

The contact form arrives with a name, an email address and the words "do you do parties?". Ask the three questions you need and nothing else. A list of twelve questions reads like a form they already tried to fill in.

Subject: Re: Private parties at Marlow's

Hi James, thanks for getting in touch. We do and we would be glad to host it. To give you a proper answer with a price, three quick questions:
1. Which date or which few dates are you looking at?
2. Roughly how many guests?
3. Is it a sit-down meal, drinks and food on the go or a mix?

Reply with those and I will come back to you the same day with what is free and what it would cost.

Best regards,
Tom

4. The follow-up after a viewing

They came, they liked it, they said they would think about it. Send this the next morning, while the room is still fresh in their minds. Recap what they cared about, restate the figure and say how long you can hold the date. For the wider sequence, see our quote follow-up templates.

Hi Sarah, it was lovely to meet you and Dan yesterday. You were both taken with the terrace for the ceremony and wanted to check the late bar. To confirm: the bar can run to 1am for an extra 450. The quote for 80 guests on 12 June stays at 8,600 with the menu you liked. I can hold the date for you until Friday 13 November without a deposit. After that I would need to release it if someone else asks. Any questions in the meantime, just reply here.

Best regards,
Orla

5. The budget below your minimum spend

They love the room but the figure is 2,000 over what they have. Do not cut the price for nothing. That tells them every number on your list is soft. Offer a smaller version of the event that fits their budget: a quieter day, fewer hours or a simpler menu.

Subject: Re: The Christmas party quote

Hi Priya, thanks for being straight with me about the budget. A Friday in December has a minimum spend of 6,000 and I cannot go below that on a Friday. Two ways to bring it within your 4,000:
1. Thursday 10 December instead, where the minimum is 3,500. Same room, same menu.
2. Keep the Friday with drinks and a sharing menu instead of the three courses, which comes in at about 4,200 for 60 people.

Either would be a great night. Tell me which way you would like to go and I will send a revised quote today.

Best regards,
Tom

6. The provisional hold that is about to lapse

You are holding a date for them without a deposit and the hold ends on Friday. Tell them before it lapses, give the deadline and say what happens after it. It is not pressure. It is the information they need to avoid losing the date.

Subject: Your hold on 12 June ends this Friday

Hi Sarah, a quick reminder that I am holding Saturday 12 June for you until this Friday, 13 November. To confirm the booking, I just need the signed booking form and the deposit of 1,500, both by Friday. If you need a few more days, tell me and I will ask whether I can extend it. If you have decided to go elsewhere, that is completely fine, just let me know so I can release the date.

Best regards,
Orla

7. The booking confirmation

The deposit has landed. Confirm every detail in one email so there are no surprises on the day. Our guide to confirming an agreement by email covers the shape and our guide to asking for a deposit covers the step before.

Template: booking confirmation

Subject: Confirmed: your wedding at The Boathouse, Saturday 12 June 2027

Hi Sarah, thank you, the deposit of 1,500 has arrived and your date is confirmed. Here is what we have agreed:
1. Exclusive use of the Boathouse and terrace, 12pm to 1am, Saturday 12 June 2027
2. 80 guests, three course menu as chosen, drinks reception and toast
3. Total 9,050 including the late bar. Deposit paid 1,500. Balance 7,550 due by 12 May 2027.
4. Final numbers and dietary needs due by 29 May 2027

I will be in touch in the new year to start on the menu tasting. If anything here is not as you understood it, tell me now. Congratulations again.

Best regards,
Orla

Answering the enquiry within the hour

The hard part is not writing these. It is writing them at seven on a Friday while the bar is three deep. Or on a Sunday morning when six enquiries came in overnight. That is where most venues lose the race. ReciteMail is built for that moment. Snip the enquiry off the screen and say "June 12 is free, 80 guests, 7,800 to 9,400, offer a viewing Thursday at 4". The reply comes back in your own voice with their date, their numbers and your next step in it. Read it, paste it into your email and send it. It learns how you write from emails you have already sent, runs on your PC and never connects to your inbox or your booking system. Nothing sends without you. This 40 second video shows the flow.

The venue that answers first with the date and a price usually gets the booking. Date, price range, what is included and one next step, within the hour. ReciteMail drafts each reply in your voice from a snip of the enquiry. See who it is for.

Common questions

How quickly should a venue reply to an event enquiry?

Within the hour if you can and the same working day at the latest. People booking venues send the same enquiry to several places at once and build a shortlist from the first replies. If the full answer will take longer, send a short holding reply that confirms the date is free and says when the details are coming.

What should a reply to a venue enquiry include?

Whether the date is available, a price range for their guest numbers, what is included in that price and one next step with a time, such as a viewing or a call. Attach the brochure underneath the answer, never instead of it.

Should a venue put prices in the first reply?

Yes. A range for their date and guest numbers is enough. "Contact us for pricing" makes them do more work and they will usually move on to a venue that gave them a figure. A range also filters out enquiries that were never going to fit your minimum spend.

How do you reply when an event budget is below your minimum spend?

Thank them for telling you, state the minimum for that day and offer a smaller version that fits: a quieter day of the week, fewer hours or a simpler menu. Do not cut the price for the same event, as it makes every figure on your list look negotiable.

How long should a venue hold a date without a deposit?

Usually seven to fourteen days. Say the exact end date in writing when you agree the hold and remind them a few days before it lapses. If someone else asks for the date, contact the first party before releasing it.
