The slowest part of a new customer-facing hire is not the software. It is the six weeks they spend learning how your business talks: what you promise, what you never say, how firm you are with a supplier and how warm with a customer. ReciteMail shortens that to an afternoon.

  • The previous person's sent mail becomes the house voice. Export their Sent folder before they leave (or the owner's) and the new starter imports it. ReciteMail notices most of it was written by someone else and asks one question. From then on drafts learn from how your business wrote, while every one of them is signed with the new person's own name.
  • One file sets up the rest. The team pack carries your templates, company facts, banned words and contacts. The starter imports it, imports the old sent folder, types their name and is drafting replies that sound like you before lunch.
  • They get the voice, not the mailbox. Nothing connects to your inbox or theirs. There is no password to share and no access to revoke later. When someone leaves, you remove their entry and the house voice stays.
  • You still review however you do today. Every draft is copied into their own mail app and sent by a person. Nothing goes out on its own.

One house voice, under your control

The hard part of email at team size is not speed. It is drift. Five people writing to the same customers slowly become five different companies: one promises refunds the policy does not allow, one is blunt with a client who needed warmth, one still quotes last year's lead times. Most tools answer this by taking over the inbox. ReciteMail answers it with control you set once and everyone inherits.

  • Your policies become the source of truth. Company Facts holds your real returns window, dispatch times and warranty terms. Every draft anyone writes quotes the actual policy instead of a guess. Anything the facts do not cover, the draft promises to check rather than inventing.
  • Words your company never says, enforced. The banned-words list works per audience. The things you would never say to a customer and the things you would never admit to a supplier are blocked for everyone, automatically, before a draft is ever read.
  • Templates shared without identities. The team pack carries your reply library to every machine while leaving each person's name, address and signature alone. Nobody ever sends an email signed as someone else.
  • Nothing to connect, nothing to migrate. ReciteMail does not try to replace Outlook, Gmail or whatever your company already runs. It works beside them. There is no mailbox permission for IT to review, no data to move and no sending rights to grant, because nothing sends without a person pressing send in their own inbox.

That last point is the whole design. A tool that owns your inbox has to be trusted with everything in it. A tool that only drafts has to be trusted with one message at a time. Worth knowing before you ask

  • ReciteMail is Windows 10 and 11 only. There is no Mac version and no phone app.
  • Everyone gets their own account and each account works on two computers. Accounts are not shared.
  • Adding or removing people is a manual step on our side today, not a self-service dashboard.
  • Every feature is in every plan. A team pays less per person, it does not unlock extra software.
