How to add your signature in Outlook, Gmail and Apple Mail
Click Copy signature above, then paste it into your email app. Because it copies as rich HTML, the formatting and links come across intact.
- Gmail: Settings (the gear), then See all settings, then the Signature section. Create a signature, paste it in and save changes at the bottom.
- New Outlook and Outlook on the web: Settings, then Accounts, then Signatures. Paste into a new signature and set it as your default.
- Classic Outlook (desktop): File, then Options, then Mail, then Signatures. Create a new one, paste it in and assign it to new messages and replies.
- Apple Mail: Mail, then Settings, then Signatures. Untick "Always match my default message font", then paste.
What makes a good email signature
- Keep it to four or five lines. Name, title, company, one way to reach you and one link. A signature longer than the email reads as clutter.
- One accent colour at most. A single restrained colour looks considered. A rainbow looks like a template.
- Real, tappable contact details. A phone number and email that actually link save the reader a copy and paste.
- Go light on images. Many inboxes block images by default, which means a signature that is mostly picture can arrive blank. Keep any logo small.
- Skip the inspirational quote. It rarely helps and often dates badly.

How do I add the signature to Outlook or Gmail?

Should I put a photo or logo in my email signature?
A small logo is fine and can look polished. A photo is optional and personal preference. Keep any image small, around 100 to 150 pixels wide, which keeps the signature light and stops it pushing your actual message down the screen. A signature that is mostly image also risks being hidden by email apps that block images by default.
