For estate agents
Every vendor updated, every viewing followed up, in your voice
Selling homes is a relationship business run over email. Vendors want to hear something every week, buyers go quiet after viewings and the chain needs chasing before it stalls. ReciteMail drafts all of it in your own voice from a one line instruction. It never connects to the mailbox where every negotiation in your pipeline lives.
The daily reality
The emails that fill an agent's evening
Every one of them is a relationship. Every one left unanswered is a vendor wondering whether they chose the right agent.
The weekly vendor update
Twelve instructions means twelve vendors expecting news, even in a week when the honest news is two viewings and no offers. The update has to sound engaged rather than templated, because the vendor is deciding every week whether you are working. Say the facts in one line and the update goes out warm, honest and specific to their property.
The viewing follow-up
Feedback to the vendor and a nudge to the buyer, ideally the same day while the viewing is fresh. Both need tact: the feedback might be about their carpets and the nudge cannot smell of desperation. ReciteMail drafts both sides from one instruction, each in the right register.
The chain that needs chasing
Solicitors waiting on searches, a buyer's mortgage stuck, a vendor upstream going quiet. Chain emails have to press without burning anyone, because the same solicitor is on your next three sales. Firm, dated and courteous is exactly the draft you get from a one line brief.
Why the design matters here
Why no mailbox access matters mid-negotiation
An agent's mailbox holds every live negotiation: offers, positions, what the vendor will really accept, what the buyer really said. Granting an outside tool standing access to that is a conversation nobody wants to have mid-sale. ReciteMail is import-only, one message at a time. The pipeline stays exactly where it is and the tool only ever sees the single email you hand it.
Offers stay between you and your clients. Because there is no mailbox connection, negotiation detail never sits on an outside service waiting to be a problem. What you import lives encrypted on your own machine and only the one message you are answering travels for drafting. Nothing sends without you pressing send.
The same three steps every time
From their email to your reply in under a minute
1. Bring in one message
Paste the buyer's email in or snip it from your screen. That single message is the only thing the system ever sees, never the mailbox around it.
2. Read the draft
It arrives in your voice, learned from emails you chose to import, with your sign-off attached and the figures left exactly as you typed them.
3. Send it yourself
Copy into your own email client and press send. Nothing can send on its own, because nothing is connected to anything.
What we claim and what we do not. ReciteMail does not hold SOC 2, ISO 27001 or HIPAA certification and does not claim to. What it offers is an architecture where sensitive mail never reaches us in the first place: no mailbox connection, an encrypted database on your own computer and message content that is never stored on our servers or used for training. If your organisation requires formal certification, we would rather tell you now. The full detail is on the security page.
Questions
Common questions
Does ReciteMail connect to my work mailbox?
No, never. There is no sign-in to Outlook, Gmail or any agency system and no permission to grant. You bring in one message at a time by pasting it or snipping it from your screen. The rest of your mailbox, including every live negotiation, stays invisible to the tool by design.
Where do client emails and offer details go?
The messages you import live in an encrypted database on your own computer. When you draft a reply, only that single message plus your instruction travels over a secure connection. It is not stored on our servers and never used for training. Offer figures you type stay exactly as typed, because drafts never invent numbers.
Will the vendor updates actually sound like me?
That is the core of the product. It learns from emails you have already sent: how you open, how you soften bad news, how you sign off. Vendors chose an agent rather than a mail merge. A templated update reads as exactly the latter. These drafts read like you on a good morning.
Can it keep buyers, vendors and solicitors in different tones?
Yes. Contacts can be tagged by type. Drafts land in the right register for each: warm and reassuring to a vendor, courteous and precise to a solicitor, encouraging without pressure to a buyer. One instruction from you, the right voice for each reader.
How is this different from the property management page?
That page is the lettings side: tenants, repairs and arrears. This one is sales: vendors, viewings, offers and chains. Plenty of agencies do both. The same account covers both sides of the desk with the same voice.
What does it cost?
