Where Is My Order: WISMO Reply Templates That Save the Sale

Published 25 July 2026 · 7 minute read · The ReciteMail Blog

Where is my order, known as WISMO, is the single most common message an online store receives. It is rarely a hard question. What makes it dangerous is volume and timing: a worried buyer who does not hear back quickly fills the silence with a chargeback, a bad review or a second, angrier email. The reply itself is easy. Sending a calm, honest, personal one every single time, fast, is the hard part. Here are five templates for the situations that come up most, plus how to keep them sounding like you rather than a robot.

WISMO reply templates that save the sale, for online stores

What is a WISMO email?

WISMO stands for where is my order. It is the shorthand for a customer asking where their delivery has got to. For most stores it is the highest-volume support request by a wide margin. The individual message is simple. The trap is that when twenty of them land in a morning, it is tempting to fire back something curt. Worse still is leaving them sitting while you deal with anything that looks harder.

Why do WISMO replies matter so much?

Because a WISMO email is a customer telling you they are starting to worry about money they have already spent. Handle it well and you often get a more loyal customer than one whose order simply arrived on time. Handle it badly or slowly and the same person opens a payment dispute or leaves the review that costs you the next ten sales. The reply is small. What it protects is not.

What makes a good where is my order reply?

Every good WISMO reply does four things, in this order:

  • Acknowledge the worry. A short line that shows you read it and you are on it.
  • Give the real status. The true state of the order, not a vague "it is on its way".
  • Set the next checkpoint. A date or a tracking link so they know when to expect movement.
  • Make it easy to come back. Invite a reply if the checkpoint slips so they do not feel abandoned.

The templates below all follow that shape. Swap the bracketed parts for the real details and keep the tone that sounds like you.

WISMO reply templates

1. Order shipped, tracking available

Hi [first name],

Thanks for checking in. Good news: your order [order number] shipped on [ship date] and is on its way. You can follow it here: [tracking link].

The latest estimate has it reaching you by [delivery estimate]. If it has not arrived by then, just reply to this email and I will chase it down straight away.

Thanks for your patience,

2. Order still processing, not yet shipped

Hi [first name],

Thanks for reaching out. Your order [order number] is packed and waiting for [carrier] to collect, which is booked for [collection date]. You will get a tracking link by email the moment it leaves us.

Sorry it has not moved yet. If [collection date] slips for any reason, I will tell you rather than leave you guessing.

Best,

3. Order delayed by stock or a supplier

Hi [first name],

Thank you for your patience. I am sorry for the wait on order [order number]. One item, the [item name], is running [number of days] behind because [short honest reason]. Everything else is ready to go.

You have two options. I can ship what is ready now and send the [item name] on as soon as it lands. Or I can hold the order and send it complete around [new date]. Tell me which you prefer and I will sort it today.

Thanks,

4. Tracking says delivered, customer says not received

Hi [first name],

Sorry for the worry, that is genuinely frustrating. The carrier has order [order number] marked as delivered on [delivery date], which clearly does not match what you are seeing.

Here is what I am doing now. I have opened a trace with [carrier] and asked them to confirm the delivery location and check for a safe place or a neighbour. I will come back to you by [follow-up date] with what they find. If it cannot be located, I will make it right with a [replacement or refund].

Thanks for bearing with me,

5. International order held in customs

Hi [first name],

Thanks for your patience. Your order [order number] has cleared our end and is currently held in customs in [country]. That is normal for international orders and usually clears within [typical range]. The tracking will update the moment it moves: [tracking link].

If it has not cleared by [date], reply here and I will contact the carrier to push it along. You will not be charged twice for anything.

Best,

How do you keep these personal at scale?

A template you paste raw, twenty times a day, stops sounding like a person by lunchtime. Customers can feel it. The fix is not writing every reply from scratch, which is where the hours go. The fix is a small set of templates you adapt to the actual order and the actual person before each one goes out.

That is the job ReciteMail does. It keeps your templates, learns your tone from emails you have already sent and turns an order screenshot or a one-line note into a finished reply in your voice. You read it and send it yourself. If you are still rewriting the same messages by hand, the guide on building a reply library pairs well with this one. The overview for online stores shows how the customer and supplier sides fit together.

What if the WISMO is really a supplier problem?

Often it is. The customer is asking where their order is because your supplier has not shipped it or cannot tell you when they will. In that case the WISMO reply is only half the job. The other half is chasing the supplier for a real dispatch date, firmly. Your next update to the customer is then true rather than a hopeful guess you have to walk back. That side has its own playbook: chasing a supplier by email.

Common questions

What does WISMO mean?

WISMO stands for where is my order. It is the shorthand for the most common message an online store receives, a customer asking where their delivery has got to. High in volume, low in complexity and easy to answer badly when you are rushing.

How fast should I reply to a where is my order email?

Same day if you can, ideally within a few hours. A worried buyer who hears nothing fills the silence with a chargeback or a bad review. A quick, honest holding reply buys you time even when you do not yet have the full answer.

Should I automate WISMO replies?

Be careful. A canned auto-reply that ignores the specific order reads as a brush-off and can make things worse. A safer middle path is a template you adapt to the real order and send yourself. It stays personal that way.

What if the delay is my supplier's fault?

Then the WISMO reply is only half the job. You also need to chase the supplier for a real dispatch date so your next update to the customer is true, rather than a guess you will have to walk back.
